Notifications in Eklo: the bell, emails and the digest
The bell, the emails Eklo sends when something needs you while you're away, the optional digest of unread notifications, and turning each off.
Last updated
Notifications are Eklo's inbox for church staff and volunteers: requests waiting on your approval, mentions, tasks assigned to you, questions about your requests, messages a request workflow sends you. They show up in the bell in the top bar and on the Notifications page, one list per workspace.
What you're notified about
- Someone mentions you in a channel, a DM or a task's comments.
- Someone replies in a thread you started or replied in.
- A request needs your approval.
- An approver has a question about your request, or the submitter answered your question.
- Someone submits a form you own or edit.
- A task is assigned to you.
- A request workflow sends you a message.
- An owner or admin approves or declines a guest you invited.
- Someone asks to join a Closed team you run, or a team admin decides on your request to join one.
- Support replies to a ticket you sent from Help.
Turning kinds off
Open Settings → Profile → Notifications and switch off Mentions (in chat and in task comments), Approvals waiting on me, Tasks (assigned to you, or comments on tasks you watch), Forms (new submissions to your forms, and decisions and questions on your requests) or Direct messages and replies (replies in your threads, and the emails and digest lines about direct messages you haven't read) to stop getting those. Switched-off kinds don't reach the bell or any email, in any workspace you belong to. A request still waits for your decision on the Approvals page either way, and direct messages still show in Chat.
The bell
The bell shows how many notifications you haven't read. Click it to see the latest six, grouped into Today, Yesterday and Earlier. Choose Unread to see only those. Click a notification to go to it, or View all notifications to open the Notifications page. The page lists your latest 200 notifications the same way, with the same All and Unread choice.
An unread notification has a bar down its left edge and a bold title. Opening it marks it read. To mark one read without opening it, press the check at the end of its row; on a computer it shows when you point at the row or tab to it. Mark all as read, in the bell or on the page, clears the rest.
When something needs you and you're away
If a request needs your approval, or someone mentions you, and it's still unread about 10 minutes later, Eklo emails you, as long as you haven't been using Eklo since it arrived. The email comes from your church ("Grace Church via Eklo") and links straight to the approval or message. If you're signed out, you sign in and land right on it.
- Once. Each notification is emailed at most once. Anything else that comes in while you're away goes into the same email.
- Not if it's handled. Nothing is sent if you've read it, if the request was decided or moved on to someone else, or if the message was deleted.
- Titles only. The email shows the same title you see in the bell. Message text and form answers stay in Eklo, and you can't approve from the email.
- An open tab doesn't count. Leaving Eklo open on a computer you've walked away from doesn't stop the email. Using it does.
Direct messages
A direct message you haven't read about 10 minutes later is emailed to you the same way, if you haven't been using Eklo since the latest one arrived. The email says who sent them and how many are waiting, "Ana Ruiz sent you 3 messages", and links to the conversation. It doesn't include what they wrote.
- One for a burst. Several messages in a row come as one email, about 10 minutes after the last of them.
- At most one every three hours for each conversation. Anything that arrives in between waits for the three hours to pass, and is emailed then if you still haven't read it.
- Not if you've read it. Opening the conversation in Chat stops the email.
To stop these emails, switch off Email me when something needs me and I'm away, or Direct messages and replies, in Settings → Profile → Notifications. Both are on by default.
Email digest
If you don't open Eklo every day, the email digest makes sure nothing waiting for you goes unseen. It's a short email listing the titles of your unread notifications.
- One email per workspace. If you belong to two churches, each sends its own digest, listing only its own notifications.
- When it arrives. Daily digests go out around 6am in the workspace's timezone. Weekly digests go out on Monday around 6am.
- Only when there's something new. A digest covers notifications that arrived since your previous digest and that you still haven't read. If there are none, no email is sent.
- Titles only. The email lists up to 10 notification titles, the same text you see in the bell, and an Open notifications button. Message bodies and comments stay in Eklo.
- Direct messages too. Unread direct messages that arrived since your previous digest come first, one line per conversation: "3 unread messages from Ana Ruiz". They're left out when Direct messages and replies is off.
Changing or stopping it
Open Settings → Profile → Notifications and set Email digest to Off, Daily (the default) or Weekly. The setting is yours and applies to every workspace you belong to.
Every digest also ends with a Turn off digest emails link (Turn off digest emails for all your churches if you belong to more than one). It works without signing in: it opens a page with one button, and pressing it turns the digest off. Mail scanners that open links can't trigger it. Mail apps that offer their own Unsubscribe button, such as Gmail and Apple Mail, turn it off in one step too. Turn the digest back on from your profile whenever you like.
Other emails
Some things are emailed to you on their own, whatever your digest and away-email settings: invitations, questions about your requests, and messages a request workflow sends by email.
