Teams in Eklo: ministry teams with their own channel and projects

Creating teams, joining one, customizing a team's home page, and choosing who can post in its chat channel.

Last updated

In Eklo, a team is a ministry or group, like Worship, Youth or Hospitality. Each team gets a home page, its own chat channel and its own projects. Open Teams in the left rail to see the Team directory. On a phone, tap More in the bar along the bottom, then Teams.

Team access

Every team has one of three access levels:

AccessWho can see itHow people join
Anyone can joinEveryone in the workspaceIn one click
Ask to joinEveryone, but only members see insideThey ask; a team admin approves
Invite onlyIts members, and the workspace's owners and adminsAn owner or admin adds them in Settings → People

Create a team

Who: owners, admins and managers.

  1. Open Teams and click Add team (or Create your first team).
  2. Enter the Team name and choose Who can join: Anyone can join, Ask to join or Invite only.
  3. Optionally add a Description and pick a Color. If your church has Multiple locations turned on, also pick its Campus, or All campuses.
  4. Click Create team.

You become the team's first Team admin, and Eklo creates the team's chat channel.

Join a team

Open Teams. On a team marked Anyone can join, click Join: you're on the team straight away. On an Ask to join team, click Request to join. The request shows as Request pending until a team admin decides. You get a notification when they do. To join an Invite only team, ask an owner or admin to add you.

You can also join from the team's own page, with Join team or Request to join.

Approve a request to join

Who: the team's admins, owners and admins.

When someone asks to join, the team's admins get a notification. A team with no team admin notifies the workspace's owners and admins instead. Open the notification, or the team's Members tab, and click Approve or Decline under Asking to join.

Owners and admins add anyone to any team from Settings → People: click the person, then Assign to team. See People, roles & invitations.

The team page

A team's page has four tabs:

  • Home: the team's chat, its projects, who's online and recent activity, plus any blocks the team admins have added.
  • Members: everyone on the team. Team admins can make a member a Team admin or turn them back into a Member. A team always keeps at least one team admin.
  • Projects: the team's projects. Team admins can click New project. See Tasks and projects.
  • Settings: team admins, owners and admins only.

Customize the home page

Who: team admins, owners and admins.

  1. On the Home tab, click Customize.
  2. Under Add a block, choose Announcement, Text, Forms, Members or Link. Announcements come in three tones: Info, Success and Heads up.
  3. Use the arrows to move a block up or down, or the trash icon to remove it.
  4. Click Save changes, or Cancel to throw the changes away.

A new Forms block starts with the team's own forms picked, and lists them first. Everyone sees an All {team} forms link on it, which opens Forms filtered to that team.

Team settings

On the Settings tab:

  • Identity: the team's name, description and color. Click Save identity.
  • Cover image: click Upload image to pick a PNG, JPEG, GIF or WebP up to 5 MB for the top of the team's page. Remove goes back to a gradient in the team's color.
  • Access: Anyone can join, Ask to join or Invite only. Click Save access.
  • Team chat: who can post in the team's channel. Click Save team chat.
    • Anyone in the team can post: a normal channel.
    • Only team admins can post: an announcements channel. Members can read it but not post.

Archive a team

Who: team admins, owners and admins.

In Teams, open the ⋯ menu on the team's card and choose Archive team, or click Archive on the team's Settings tab, and confirm. The team leaves the directory, the sidebar and the team pickers, and its chat channel closes. Its projects and members are kept.

The same menu's Edit team opens the team's Settings tab.

To bring it back, open Teams, choose the Archived filter and click Restore. The filter only shows when there's an archived team you can restore.

Delete a team

Who: owners and admins.

In Teams, open the ⋯ menu on the team's card, choose Delete team and confirm. This also deletes the team's chat channel and its messages.

Eklo won't delete a team that's still in use:

  • An Ask to join or Invite only team that still has projects, because deleting it would show those projects to everyone.
  • A team that a form or an open request still uses as its owning team, audience or approver.

Change those first. When an Anyone can join team is deleted, its projects stay and become visible to the whole workspace.
