Task templates in Eklo: save a task and its subtasks to reuse

Save a task and its subtasks as a template, with fill-in-the-blank variables, and create tasks from it.

Last updated

In Eklo, a task template is a task you create again and again, like "Baptism prep" or "Event setup", with its subtasks already listed. Open Tasks → Templates to see them.

Guests can't use templates.

Start from a church template

Eklo has starters for work most churches repeat: Sunday service prep, New volunteer onboarding, Special event (like Easter or Christmas), Baptism Sunday and Guest follow-up. They're on the Templates page, under the list once you have templates of your own.

Click Add to workspace on one to copy it in. The copy is yours: change its tasks, dates and name like any other template. Nothing is added to your workspace until you click.

Create a template

  1. Open Tasks → Templates and click New template.
  2. Give it a Name and an optional Summary.
  3. Under Visible to, choose who can use it:
    • Workspace: anyone in the workspace.
    • A project: only when creating tasks in that project. Pick the project.
    • Just me: only you.
  4. Fill in the Task section: its Title, Description, Priority and Due date. For the due date, choose No due date, On a set date, or Days before or after… (a number of days, business days, weeks or months before or after the task is created, or another date). If that other date is empty when the template is used, choose whether to Use today, Leave blank or Stop and warn me.
  5. Click Add subtask for each step. Subtasks can't have subtasks of their own.
  6. Click Create template.

Variables

Variables are blanks someone fills in each time they use the template, like the family's name or the event date.

  1. Under Variables, click Add variable. Give it an id (lowercase letters, numbers and underscores), a label and a type: Text, Date, Number or Pick one of…. Tick Required if it must be filled in.
  2. In the title or description, use Insert variable to place it.

A Date variable can also set a Days before or after… due date, for example "3 days before the event date".

Create a task from a template

On the Templates page, click a template or its Use button. New task opens with that template picked, in its project if it belongs to one.

Or press c, or click New task anywhere, and pick the template under Start from. With no templates yet, Browse templates takes you to the Templates page.

Then:

  1. Fill in its variables under Fill in for this task. You can also change the title under Title (override).
  2. Click Create from template.

Eklo creates the task and all its subtasks. A project template only appears when you're creating a task in its project.

Change or archive a template

In Tasks → Templates, use the edit button to change a template, or the archive button to retire it. Archiving asks first. Tasks already created from it don't change.

Anyone in the workspace can edit Workspace and project templates. Just me templates can only be edited by their owner.
